Proofreading

The task of the proofreader is to eliminate formal errors. The text is therefore being examined with regard to clerical and typing errors, spelling, punctuation and grammar. It is quite natural for such mistakes to sneak in, particularly when one has occupied oneself with a manuscript over weeks, months or years and/or is working under time pressure. A proofreader, with his/her fresh and trained eyes, will find the residual typo errors that have found their way in. After their elimination, the quality of the text will have improved from ‘very good’ to ‘excellent’. It is wise for proofreading to take place only when the composed text is linguistically and contextwise mature. Copy-editing should have been carried out already.


 
 

 

Copy-Editing

Professional copy-editing usually also includes the optimisation of spelling, punctuation and grammar. In addition to these formal aspects, however, content and writing style are also being scrutinised here. This includes diction, expressions and repetitions, as well as factual correctness and reader-friendliness, while bearing in mind who the target audience is. Content & Linguistic Editing

While through the process of copy-editing the text is being optimised, content & linguistic editing also entails checking the layout. Thus, the whole print product is being inspected, among other things with regard to word division, quotation marks, paragraphs, line spacing, page numbering and table of contents. Images, diagrams and tables should be arranged and assigned sensibly. Following this editorial final inspection, the document is ready to print and can be published. Especially for printing material like brochures or journals, such a last editorial check is indispensable, in order to avoid unwelcome surprises and wasted printing costs.
